A business case before
a bigger commitment.

Choose one repetitive workflow. Adjust the assumptions. See the capacity you could recover and whether a pilot is worth exploring.

Your workflow, your assumptions

All costs are in EUR. Example values are assumptions, not measured results or our prices.

Count only people doing this workflow.

Time spent on this workflow, not their full work week.

Use your fully loaded hourly cost as a capacity-value estimate.

Gross time reduction before additional human review.

Share of the team expected to use the workflow consistently.

Additional checking, correction, and supervision for each adopter.

Include software, model usage, support, and maintenance for the whole workflow.

Include discovery, integration, testing, and team onboarding.

This scenario could justify a focused pilot.

Validate the time saving and review effort on real work, then compare the pilot results with this estimate.

Capacity value is not guaranteed cash savings or revenue. Cash savings require an actual reduction in spend. This model assumes steady adoption from month one and excludes tax, financing, and benefits you have not entered.

How the estimate works

We use 52 weeks ÷ 12 months. Recovered hours = people × adoption × (weekly hours × time saved − added review hours) × weeks per month. Net monthly capacity value = recovered hours × hourly value − monthly running cost. First-year value subtracts setup cost from 12 months of net value. Payback divides setup cost by positive monthly net value.

Pilot checklist

  • Measure the current workflow on representative tasks.
  • Test quality, time saved, and review effort with a small group.
  • Confirm data permissions, owners, and human approval points.
  • Agree success measures and a stop/go decision before scaling.

Before you build the business case

Is this a forecast of my AI return on investment?

It is a scenario calculator, not a forecast. It makes the assumptions visible so you can test them. Use a measured baseline and a small pilot before treating the result as a budget justification.

What should I automate first?

Start with frequent, measurable work that has a clear owner, accessible data, and a human review point. Drafting routine documents or preparing recurring reports can be easier to evaluate than an autonomous process with broad permissions.

Can you help validate or build the workflow?

Yes. An AI Opportunity Sprint can assess feasibility and define a pilot. Security review and implementation can follow under an agreed scope and fee. The initial 30-minute fit call is free.
